We have 1569 players registered at this time. Sandra asked if anybody had any ideas on improving registration process. She would like to have a meeting with the division commissioners to get their input.
Theresa reported that we have $18,188 in the checking account. We are being charged a service charge on some of the transactions. Theresa is going to shop around to see if we could do better at another bank. If you have not turned in your budget for the Fall/Spring 2005 season, please do so ASAP. Liesl did an audit on March 9; everything from November 2004 to present is in order per AYSO standards. She will be doing an audit from November back to the last audit soon. Theresa needs to know the number of new players so we do not pay National twice for a registered player.
Steve reported the T-shirts have been ordered for the U8 referees, and we need to get the youth volunteer forms for the youth referees.
There are 48 under 6 teams (289 players) and 10 on a waiting list. With out adding more fields 48 teams are the most we can handle. There are 32 Under 8 teams, 26 Under 10 teams, 15 Under 12 teams, (190 players) with room for 3 more teams, 5 Under 14 and 5 Under 19 teams (180players). Not all the players are registered but will be by Saturday. This season we also have 4 VIP teams, they start playing Friday, March 18.
John reported that the fields are lined and ready for play on Saturday. If you can come out Friday and help put up corner flags, secure nets, and put up the flagpole. The flagpole was taken down over the winter. Lynn reported that the erosion problem next to field 1 had been taken care of. Rocks, concrete and top soil were put in place to control the run off from the parking lot. John and Lynn reported that the metal building couldn’t be moved with out destroying it. We need to look at getting another building to store the field paint and field equipment in.
Crystal and Liesl will be going around to different fields during games on Saturday to collect the kid zone forms. Crystal reminded everyone that there would be a Second Harvest can food drive on March 19. Second Harvest will provide the bins for the can food and other non-perishable items.
The region is going to get out of the ball selling business. We do not make enough and not that many balls are being sold for all the hassle. A discussion about what to do with the left over balls on hand. A motion was made to donate some to Wesley House players, and to try to sell the rest for $5 each. The motion passed.
Laura said the new player clinics went well. She had plenty on help on the U8, but could have used more on the U6 clinic. She thanked all the ones that came out and helped. Some of the helpers were players. The new players liked learning from other kids.
April and Rick have completed the first Spring 2005 new letter. They will have 250 copies at the field on Saturday. Depending on the demand they will increase or decrease the number of copies.
New Business discussed: George proposed donating enough mulch for the flowerbeds at Faith United Methodist Church. The Church has let us use their building for board meetings, training sessions, and coach meeting for free. We need to say Thank You. The motion passed.
Theresa need for people to email her and let her know when they order anything and when money comes in. She is accounting for every penny that comes in or goes out. She gets bills and does not know who ordered things.
George wants the region to get back to the true AYSO philosophies. Some things have gotten out of hand over the years, trying to honor parent’s requests for car-pooling, etc.
We will be working on making the changes over the next few months.
We will also be doing an inventory on jerseys for the fall season. We will be adding some shelves to the storage building for the jerseys.
Board members need to use Office Depot for any copying, office supplies, etc. We get a 15% discount. We have a non-tax account set up with them.
Due to the large numbers we are taking to the Section meetings, we may look at another way of thanking the volunteers. There were a lot of items ordered at the section meeting that no one has claimed. We will still have our volunteer day at the end of the spring season, and the board dinner in December.
Russ Woolard would like to recognize a referee each week. A suggestion was made to also recognize a coach also. The referee and coach of the week will be recognized in the regions newsletter. Other things may also be done.
We will be setting up some guidelines for scholarships so that all are the same.
Mary reported that plans are being made for Soccerfest 2005. We will be having a U6 Jamboree, any ideas and comments need to be sent to Ty and Mary. If you want to help out, show up at the next Soccerfest meeting.
Sandra reminded everyone to wear his or her blue board shirts on Saturday. There will be a lot of confused parents on Saturday.
With nothing further to come before the board the meeting was adjourned.
